Job Purpose:

The role of the Commercial Assistant/Administrator is to support the Assistant Quantity Surveyors and Commercial Manager to deliver improved commercial performance for the  €˜Projects €™ business units within Connections. We are responsible for financial review and closure of 6,000+ jobs per annum.

We are also responsible for compiling and distributing reports relating to the commercial and regulatory performance. We also interface with Network Operations as the delivery provider of Connections Projects and we are trying to assist with improving the commercial focus and commercial awareness of those that have financial accountability.

The Commercial Team has already delivered significant improvements in Commercial and financial performance and consistency of commercial processes within Connections Projects.

Principal Accountabilities:

  • Manage the job closure process including the return of completed  €˜Projects €™ from 50+ delivery Engineers in accordance with the relevant timescales and the management of the WIP for the AQS €™s to financially review.
  • Validate all costs have been incurred on orders including Contractor costs by validating CCP that all Contractor costs have been incurred before any financial reviews are undertaken by the AQS €™s.
  • Ensure that jobs are financially reviewed in accordance with the job closure processes and standards and the relevant information and reasons are captured and reported.
  • Manage the flow of financial review information on completed  €˜Projects €™ to comply with the Regulatory reporting requirements prior to the jobs being submitted for Regulatory reporting.
  • Provision providing commercial support to the Design and Delivery teams who are accountable for delivering Connections  €˜Projects €™ in respect of responding to financial queries related to job costs and reporting information and management of processes and data.
  • Manage the process to refund customers and issue Credit notes where appropriate, within designated timescales.
  • Work with other members of the Commercial Team to manage your flow of work, the WIP for the team and monitoring of financial closure actions.

 

 

 

Knowledge, Skills, Qualifications & Experience

Essential:

  • Proven experience of working in an office environment.
  • Very good level PC literacy, as a minimum demonstrable competence in use of Excel for formulas & sums, and proven experience of analysing data in Excel.
  • The ability to learn and use a variety of IT systems with fast and accurate keyboard skills.
  • Attention to detail to ensure accuracy of data is essential
  • Ability to work in a pressured environment as part of a highly focused team
  • Team working  €“ The drive and ability to work collaboratively with others to achieve shared goals and optimise the contribution of all members of the team.
  • Initiative - A bias for action and proactive problem resolution is necessary, not waiting to be given tasks to complete
  • Self-motivated, with a strong drive to succeed and continuously improve
  • Ability to build good working relationships with other staff and other teams

 

Desirable:

  • Proven knowledge and experience of producing reports and graphs in Excel and VLOOKUP €™s & Pivot tables would be a distinct advantage, but can be developed in role.
  • A basic understanding of the Electricity Distribution network and the various types of jobs undertaken would be an advantage.
